Unexcused Absences

Family Medicine Reno Residents


To ensure that residents in the University of Nevada, Reno School of Medicine Family Medicine Residency Program maintain an acceptable level of attendance at residency activities and conferences. To be used as a guide for program administration for addressing residents who have accumulated unexcused absences from required residency activities. This document acts as a supplement to Attendance Policies. This document is not meant to supersede policies previously addressed in the University of Nevada, Reno School of Medicine  resident handbook or the Family Medicine Residency, Reno handbook.

Unexcused absences

This is defined as absence from a required residency activity (including but not limited to: a rotation, FMC session, call duties) without notification of the program director and/or the program coordinator.


  1. The Program Director or Administration may become aware of the occurrence of an unexcused absence or absences at any time after the absence(s) has happened. Notification most commonly occurs at the end of a rotation where absences have occurred. It is also common for unexcused absences from assignments to be discovered by program administration much later.
  2. The program administration may become aware of unexcused absences from multiple sources such as rotation supervisors, rotation staff, faculty, or other residents.
  3. When there is an unexcused absence, it is common that only a half day or portion of a day is missed (ex: miss morning rotation, but attend afternoon FMC session). This does not excuse the absence — a residency experience is still missed and is unexcused.
  4. When there is an unexcused absence, sometimes many days of absence during a specific rotation may be discovered at once. The resident may or may not have previous violations. Sometimes the unexcused absences happen periodically over time and not during a single rotation. The program must deal with both patterns of violations and consider what has taken place if previous violations have been noted for that resident.
  5. Once the Program is informed of a possible unexcused absence, it takes time for the program to contact and communicate with those involved such as the informant, program administrator and rotation supervisors.

In the event that the Program Director or administration becomes aware of and confirms that unexcused absence(s) have occurred, action will be taken by the program. The action is taken considering the best interests of the resident, program and our patients.


  1. When program administration is informed of the occurrence of an unexcused absence and communication with those involved has taken place, the resident will be notified.
  2. Depending on the infraction, actions which may be taken by the Program Director, Department Chair, and the Clinical Competency Committee (CCC) include, but are not limited to:
    1. Notation in the resident's file
    2. Revision of the Professionalism Milestones
    3. Vacation days substituted or the PGY year extended for days missed
    4. Notification of the Associate Dean of Graduate Medical Education(GME) and further action as per the GME Office
    5. Formal probation
    6. Notice of Non-Reappointment
    7. Immediate termination from the program
